Stages and captured data

Group workflow steps into phases and define the data a workflow should collect.

Two sections of the Details panel help you organise a workflow and its output: Stages and Capture Workflow Data.

Stages

Stages group workflow steps into clear phases, such as "Intake", "Review", and "Complete", so progress can be tracked from start to finish. Each stage has a name, an optional description, and a colour, which then appears as a badge on every node assigned to it.

  1. Open Details, then select Edit.
  2. In Stages, select Add Stage and give it a name, description, and colour.
  3. Drag stages to reorder them, or select the pencil and bin icons to edit or remove one.
  4. On the canvas, select a node's stage badge to assign it to a stage.

Capture Workflow Data

Capture Workflow Data lists the information a workflow collects for later use — for example, a figure an agent extracts or a decision a reviewer makes. Each entry shows its name, a short description, and the source agent that produces it. A field marked with an asterisk is required.

TipKeep stage names short and specific — they're what colleagues will scan when checking a workflow's progress on the canvas.

Common questions

Do I need to use stages?

No. A workflow without stages still works normally; stages are there to make longer workflows easier to follow.
